Public Home Page
What is it? The first page that a visitor
sees when typing in your web site address. Generally, it contains a
graphic, welcoming text, and a link to the resident log in page.
Suggested Uses: Use this feature to
welcome visitors to your web site, briefly describe the organization,
and direct visitors to points of interest on your web site.
Additional Info: As search engines will
generally use the text on this page as a description when directing
people to your site, make sure that you use good keywords in your opening
paragraph that acurately describe your organization, it's location,
and it's intention.
Feature Keeper? This feature may be
deleted from the site if you wish to make the site "private only",
but TOPS does not recommend doing so. If you do remove the public home
page, the login screen will become the default page when a visitor comes
to the site. Search engines are significantly less likely to log your
site if there are no publicly accessible pages.

Facilities
What
is it? Information about your community facilities, including
pictures and rules.
Suggested Uses: Use this feature as
a method of selling your community to outsiders visiting your site.
Make sure that facility descriptions are colorfully worded and highly
descriptive. Focus more on the positive than rules and regulations.
Additional Info: Up to four files (pictures
or documents) may be uploaded to the feature page. In addition, HTML
coding may be used to format the description text.

Map
What
is it? The Map is a link to one of the popular mapping websites
available from the public site. A zoomable map is loaded up specifying
the location of the neighborhood. In addition to seeing a detailed map
of where the community is located, visitors can enter in their address
and print out driving directions.
Additional Info: The map feature is
simply a link to an online map service. Due to copyright law, maps cannot
be copied from the mapping service to your website, only linked. However,
if you have a drawn map of the community in a brochure or other literature,
TOPS will be happy to scan it for you and place it under the map feature.

Shopper's Classifieds
What
is it? Shoppers classifieds are special ads filtered down from
a management company site. Management companies can create an ad for
a global vendor once, and it is automatically filtered down to all of
the community web sites that management company hosts.
Suggested Uses: Use this feature to
sell ads to your global vendors. Vendors pay more to be listed on all
of your community web sites, as well as your management company site,
and you have less work, since you only have to create the ad once.
Additional Info: When the page displays
the color scheme will match that of the management company site.
Feature Keeper? This feature may be
deleted from the site. If it is removed from the management company
site, it may not be used on any community site you manage.

Private Features
Private Home Page
What is it? The first page a resident
sees upon loging in to your web site. This page generally contains welcome
text to residents, Notices of important content, and links or references
to pages of interest within the web site.
Suggested Uses: Use this feature to
welcome residents to the private side of your web site. A popular use
of this page is to include one or two photos of a recent community event,
along with text thanking residents for their participation and inviting
them to participate in future events. Also common are encouragements
to resident to use such features as the Account Info, User Profile,
Message Board, etc.
Additional Info: Along with the feature
description text included on this page, you may also include the What's
New or Event Calendar features to immediately inform owners without
having to direct them to other pages on the web site.

as the default landing page for residents when they log in.

Private Home Popup
What is it? A popup window that appears
whenever a resident goes to the Private Home Page. This window will
be blocked by popup blockers, unless the user has set their blocker
to allow popups from this site.
Suggested Uses: This is an optional
feature that you may use to quickly gain residents attention and impart
an important announcement or request. Many administrators use it to
remind residents to place their email address in their User Profile
so that the various features of the site requiring email notifications
will work correctly.
Additional Info: This is an optional
feature, and may be enabled or disabled at the administrator's whim
simply by placing or removing content in the Feature Description.
Feature Keeper? This feature may not
be deleted from the site, but it may be disabled by the Administrator
simply by deleting all content from the feature description.

Account Info
What
is it? This is the most private part of our website, for owner
eyes-only! Clicking this link will display the data the management company
has on record for an owner regarding the following items-last payment
amount, last payment date, check number, last update date, work order
history, architectural requests, and CC&R violations history. All
of this information is automatically uploaded from TOPS 2000 or
TOPS On-Site via a weekly or daily schedule, so information is
always up-to-date.
Current account info is what sets a TOPS community web site apart from
all of the other community web site products on the market. Only TOPS
offers you a fully automated solution to populate your community web
sites with current account information that residents need to know.
Suggested Uses: This feature is the
keystone of your community website. Owners will come back to the website
again and again specifically for this information. Since this feature
can significantly reduce calls to the management office, you will want
to mention it again and again to residents in newsletters, on monthly
bills, and more.
Additional Info: This feature is also
useful for on-site community managers. Once logged on to the website
as the administrator (highest access), the manager may view account
info on owner accounts to help answer questions quickly and accurately.

Address Book
What
is it? A searchable database of all community homeowners as well
as board members and other authorized personnel. Most of the information
from the user profile is displayed here, except Login Name, Password,
Person ID, and Security Level. Owners not wishing their information
to be displayed may simply delete it from their user profile.
Suggested Uses: Many communities choose
not to make this feature visible to all, choosing instead to move it
to Admin Only, where it is visible only to individuals with a security
rating of 1.
Additional Info: On-Site Managers with
a security rating of 1 may look up information on specific owners by
pulling their name in the address book and clicking "View Account
Info"

Admin Only section so that owners do not see the feature.

Announcements
What
is it? Here you can store the latest community announcements.
Announcements may be entered manually, or automatically via the events
calendar. Announcements are categorized to better manage content.
Suggested Uses: To solicit content from
owners, create an e-form for submitting web content. It is also a good
idea to define all of the categories you will need, even if there are
currently no announcements to go in them. This can encourage residents
to submit content, as well as simplify announcement automation from
the events calendar.
Additional Info: Use the categories
to better track announcements. Important new web site content might
go in the website category, while upcoming elections info might go in
a separate BoD category. Owners will click only on the category names
that interest them. If everything is listed under 'General Interest',
owners may overlook important announcements.

What
is it? This is a complete listing of all Boards and Committees
within the community. It can include a descriptive paragraph, in addition
to names of individual members and their function. (ie Joe Smith - Board
President)
Suggested Uses: This feature serves
to keep residents aware of individuals serving in their community. Be
sure to update it regularly when changes are made to boards and committees.
You can maximize this feature with the use of certain eForms, such as
"Address the Board" and "Run for Office".
Additional Info: Board member names
are pulled directly from the address book and link to the board member's
user profile. If you do not wish to link to the user profile, you may
choose to enter board member names manually in the category description.

Classifieds
What
is it? Classified advertising is the fastest growing revenue
generator on the 'Net! You can sell ads to local businesses who have
a service or product to offer your residents, or you can simply provide
this space free or at a cost for services within the community (Babysitters,
house cleaners, child care, etc.).
We recommend using this feature for small businesses inside the community,
and businesses that serve only this community. Save global vendors for
the Shoppers Classified section.
Suggested Uses: Use the categories to
your advantage. Create a category for each vendor type you are soliciting,
such as Lawn Care, Pool Maintenance, etc. Vendors will check categories,
and will be pleased to be the only vendor of that type in the category,
or will be driven to list in the category if a competitor is already
there.
Additional Info: You should decide early
how you intend to use classifieds, and what pricing scheme you intend
to use. It takes a little bit of extra work to make this a steady revenue
generator for your community, but it can be well worth the effort. See
the Downloads page for help on getting vendors to advertise on your
site, as well as customizable documents you can use to solicit ads.

What
is it? Community Documents are displayed in this area. This can
include legal documents, newsletters, brochures, general interest documents,
and more.
Suggested Uses: We recommend that you
upload documents in portable document format (PDF), because you can
define security restrictions in this format such as print only. TOPS
will be happy to convert your documents to .pdf for a small additional
fee.
Individual categories may be marked with different security clearances.
This allows you to create categories viewable by board members only
(25), or any other custom security level you have defined.
Additional Info: Documents may be uploaded
in any standard format including Adobe PDF, Text, HTML, MS Word, Word
Perfect, and MS Excel. Category and link may be defined as "Board
Only" for exclusive board member documents.

eForms
What
is it? EForms are automated forms that provide a conduit between
the management company and community officers and the owners. Owners
can complete a form and submit it. The submitted form is automatically
sent via e-mail to predefined recipients such as administrator and board
members.
Suggested Uses: This is one of the most
versatile features in a TOPS Community Web Site. Use eforms to update
owner records, survey the community, receive ACC requests, or anything
else you can think of.
Additional Info: Standard forms include:
Login request form, Architectural Change request form, Violation report
form, and Website submission form. These are completely customizable.
You may have us copy forms from an existing site, or design your own.

Email Bulletins
What
is it? Essentially a subscription based e-mail , owners can sign
up to receive regular emails about various community related subjects.
This feature pushes out information from the web site to owners, instead
of the owner having to always visit the site and look for updates. Global
E-bulletins may also be sent out to all residents with a valid e-mail
address.
Suggested Uses: The most obvious use
is to easily inform residents of upcoming events, and content added
to the web site. A much more subtle use is as a revenue generator. Create
a bulletin written by the local golf pro, for example. Then sell ad
space to the pro shop and someone offering golfing lessons. Residents
sign up to receive the bulletin on a monthly or semi-monthly basis,
and they automatically receive the ad along with their update. This
kind of opt-in targeted advertising is highly successful for both vendors
and communities.
Additional Info: E-mail bulletins may
include HTML coding, links, and pictures along with text. The fancier
you make it, the more likely owners will respond to it.

What
is it? This displays a monthly view of all events. By drilling
down on a particular date, all events for that date will be displayed.
By clicking on the event, a more detailed description is available.
Suggested Uses: Encourage residents
to submit community events with an e-form.

is a central feature of TOPS Community Web Sites. This feature has the
ability to feed the announcements and e-bulletin features.

What
is it? Residents can tell as much as they want about what they
have available for sale. This ad will show up on the public and private
sides of the site, so people outside your community can see it as well.

the community to manage garage sales and other community centric web
site content. This will free the manager from having to micromanage
the site, and encourage community participation.

advertising to local realtors. They can pay a specific cost for each
home they list.

What
is it? For residents trying to rent out their homes, this is

have used this feature to sell available time slots, such as weeks.
The feature may be renamed to reflect your usage of it.

What
is it? Anyone selling an empty lot in your community can advertise

Suggested Uses: Communities with campgrounds
and boat slips have used this feature to sell the use of those spaces.
The feature may be renamed to reflect your usage of it.

What
is it? This is a categorized list of interesting web sites both
locally and globally. You may store links along with a detailed description

Live Chat
What
is it? This is a family-oriented place where logged in site members
can interact instantly with each other on subjects of interest.
Suggested Uses: Traditionally, chats
work best when they are managed, instead of freeform. Schedule community
wide chats at certain times, such as "Tuesday at 7pm, we will have
Joe, our tennis pro available to answer your questions about tennis,
and our facilities." Another good idea is to host debates between
potential board members. Allow the residents to ask the questions, and
each candidate will answer in turn.

What
is it? This is like a "slow motion" chat room where
conversations can play out over days or weeks. Post a comment, question
or problem here and others can read it and reply to it whenever they
want.
Suggested Uses: Create topics you want
residents to respond to, such as opinions on services offered. Residents
will also create their own topics here. You may delete inappropriate
or immoral messages, but be careful not to censor dissenting opinions.

What is it? This feature, called Moving
Assistant, helps new residents find local utilities and services in
their local area, and even sign up for those services online.
Suggested Uses: The moving assistant
is a great feature for new home buyers who will be moving into your
community. Instead of being forced to keep up with a list of local service
providers and provide that information to new home buyers, you can now
direct them to your community web site, and a one-stop-shop to find
and activate all of their utilities and services.
Additional Info: Residents and New Owners
may use this feature to locate utilities and providers that service
their homes. Many of these utilities and services can be activated right
from this site. For the services that cannot be directly signed up for,
the moving assistant will provide a current telephone number for the
vendor, along with any additional information on how to sign up for
the service. This utility is a nice one-stop shop for new residents
to get settled as quickly as possible.

What
is it? Here you can post a message or question to specific people
right from the web site, such as board members or the community manager.
Suggested Uses: Enter individuals by
job rather than by name - Maintenance, rather than Joe Handyman. This
can reduce the level of personal attacks that sometimes come from frustrated
residents. Also make sure e-mail links are kept up-to-date.

What
is it? Here a category can be set up - such as PLUMBER and then

What
is it? Create surveys on community centric topics. Each homeowner

of the community on such issues as budget usage, paint colors, and community
parties.

until the logged in individual places a vote.

User Profile
What
is it? An owner's user profile contains all of the information
about their online identity, as well as any information about them that
they are willing to share with other owners in the community. Any information
entered here will display in the address book for other logged in owners
to look up, except Login Name, Password, Person ID, and Security Level.
Suggested Uses: Owners will use this
section to manage their personal settings. Managers and Board members
can use this section to maintain up-to-date information in a directory.
Simply have owners log in and update information by a certain date.
Once the deadline has passed, create a database of the information using
the Address Book Report feature, and import it into the program of your
choice (such as MS Word or Excel) for formatting.
Additional Info: Owners may change any
of their personal information on the website, including login name and
password by logging in and clicking User Profile. Changing login name
and password does not affect accounting info.

What
is it? If you need one or more volunteers for a community event/activity/committee/etc.,

What
is it? This page will display any additions that have been made
to the website within a specified time period. What's New is completely
automated, allowing visitors to instantly see any new items that have
been added by the administrator, board members, or other owners.
Suggested Uses: While it is a separate
feature in it's own right, What's New is also an embeddable object.
Communities often choose to have the what's new feature displayed on
the private home page of their site.
Additional Info: What's New is completely
automated and may not be edited. You may, however, add an explanatory
paragraph of text at the top of the feature.

Financial Reports
What
is it? This function allows you to upload select reports from
TOPS 2000 to your community web sites. The currently available
reports include: Telephone Directory (Owners), Aged Delinquency and
Delinquency Status (A/R), Balance Sheet, Income Statement, Reserve Statement
and Yearly Spreadsheet (G/L).
Suggested Uses: Use this feature to
provide board members with important financial reports prior to board
meetings. Reports are managed within TOPS, and can easily be updated.
Additional Info: In addition to the
provided reports, the reports export interface in TOPS 2000 allows
you to attach documents and pictures to reports to be uploaded. View
Sample Reports.

Task Manager
What is it? The Task Manager is a wonderful
tool that can be used to keep track of the status of tasks within the
community. Combining the functionality of a message board with eBulletins
and also adding security features, this tool is a wonderful all-in-one
package.
Suggested Uses: Though primarily intended
for board and committee members, you can customize each task category
with different security levels. This way, you can control who can view
the tasks, who can contribute to the tasks, and who can edit and manage
the tasks themselves.
Additional Info: There is also a notification
feature for each task to update recipients on the status of a task.
It will send an e-mail to anyone on the notification list any time an
update is made or a note is added to the task. Similar to the eBulletin
feature, the notification feature is more secure because only a person
who can edit the task can add someone to the notification list. This
way, unauthorized viewers will not be able to sign up to receive the
update.

Address Book Report
What
is it? The administrator can choosefrom 28 specific fields of
information from the address book to export from the address book. This
information can be viewed on screen, printed or imported into another
program.
Suggested Uses: Use this feature to
get a report of current user names and passwords, generate a community
directory, and more.
Additional Info: Allows export of all
user profile fields into an HTML report or a text file, which may be
imported into Excel, Access, Word, and more.

Banner Advertising
What is it? By default, TOPS Software
reserves the right to place banner advertising on any site we manage.
you may buy out this right at a cost of $25 per month per site. Choosing
to buyout TOPS Software's right to place banner advertising provides
you with the ability to place banner advertising yourself. You may choose
where you would like to place the banners, and any page on the site
is available to you.
Suggested Uses: This is a good feature
for management companies to purchase: simply create banner advertising
for your management company and sell banner space to global vendors
and any other companies that may apply to more than 1 community that
you manage. Then, place banner advertising on each of the community
sites that you manage.
Feature Keeper? This feature must be
manually activated on a site. Thus, if you would like to use this feature,
you must specifically request it.
Security Level: Banners are displayed
on individual pages. Thus, banner visibility is based on the security
level of the page on which it is stored. Banners are editable by administrator
(1). Security settings may be altered to make feature editable by other
security levels.

Edit Advertisers
What is it? Classified ads are populated
by the address book . Therefore, if you wish to place an ad by a company
or individual not stored in the address book, you will need to store
that information somewhere. You can add advertiser information to the
Edit Advertisers section.
Suggested Uses: Use this feature to
keep track of web site advertisers, including contact information, ad
run dates, response rates, and more.
Additional Info: This feature is not
linked or in any way related to Vendors in TOPS 2000. The only purpose
for the Edit Advertisers feature is to keep track of companies who are
paying for advertising on your web site.

Edit Modules
What
is it? Modules are custom site sections that allow you and/or
residents to define and upload content. Common examples include Photo
Album, Kids Play Groups, and Recipe Album. Graphic Files, Documents,
and/or text may be added to your modules.
Suggested Uses: This is entirely up

Edit Subdivisions
What is it? If your association maintains
seperate subdivisions, you may use this feature to define those subdivisions.
Suggested Uses: This feature will only
work if the subdivision is redefined manually for every homeowner record.
Because records are entered automatically through TOPS 2000, instead
of manually, we do not recommend using this feature for residents, although
it can be useful for defining groups of individuals such as Board Members
or Committee Memebers.
Additional Info: Once subdivision have
been defined, you may send email bulletins and announcements to a specific
subdivision only.

Feature Descriptions
What is it? Feature Descriptions allows
you to make changes to the content at the top of each feature page.
Suggested Uses: Use this feature to
add text to the top of any feature page. This may be as diverse as the
text and images on your public home page, or a disclaimer at the top
of the Message Board feature.
Additional Info: This rich text editor
allows you to edit the feature description in a way similar to Microsoft
Front Page or Word.

What
is it? The administrator's edit screens all have detail help
areas. With site administration this easy, anyone can be an administrator!
Suggested Uses: Anytime you need assistance
while updating your site, click the round question mark to get instant
help.
Additional Info: In addition to instructions
on how to perform tasks, the help interface offers handy tips. If you
do not find what you are looking for, the help system provides an easy
way to contact support via e-mail.

Statistics
What
is it? Checking statistical data on your website can be an excellent
way to discover which sections are most important to your visitors,
who visits most often, and how many visitors you're getting to your
site on a daily basis. The statistics menu provides this information
and more. There are three main sections in the statistics menu:
- Show Page Views for Last Thirty Days -- This option, also
called show hits in older versions of our sites, displays page hits
on your web site over the past thirty days. A summary section displays
total hits for the last 30 days, as well as average information.
- Show Most Frequented Pages --This option displays a listing
of the pages that are most commonly visited by your users. Only the
top 10 most frequented pages are displayed.
- Show Login Statistics -- This option displays a complete
listing of all registered users, along with accurate statistics of
the total number of times each user has logged on to the site, and
the last login date and time.
- Show Security Settings -- This option allows you
to view the current view security level defined for every feature
in the site.
Suggested Uses: This is a good feature
for management companies to use to sell classified ads to vendors. With
your statistics, you can provide definitive proof of the number of people
visiting your site, as well as information about them.

since it is only visible by the administrator.

Vendor Job Bids
What
is it? This system was designed to allow the board or management
to put on their web site any maintenance or repair jobs that they would
like out for bid.
The
system allows the community to create a database of approved vendors
and send an automatic notification to selected vendors based on the
category of the job.
Suggested Uses: Landscape Companies
are notified of a new opportunity to bid on pinestraw and pool supply
companies are notified when the job is to replace the pool cover.
Feature Keeper? This feature must be
requested by name to be activated.
Security Level: Public, viewable by
everyone (<=100), editable by administrator (1). Security settings
may be edited to make feature editable by other security levels.
